How much to charge, what your cancellation window should be, and the exact policy wording to put on your booking page — a working deposit playbook for tattoo shops.
A no-show on a fifteen-minute appointment costs you fifteen minutes. A no-show on a four-hour session costs you the day — you turned other work away for that block, and it’s not coming back. A deposit policy isn’t about collecting fifty dollars; it’s about making your calendar mean something. Here’s a complete policy you can put in place this week: how much to charge, what window to set, and the exact wording to use.
How Much to Charge
The two structures that work, depending on the size of the piece:
- Flat deposit for standard work — a fixed amount per booking, commonly in the $50–100 range. Simple to quote, simple to enforce, and enough that skipping the appointment actually costs something.
- Percentage for large and custom work — 20–30% of the estimated total for big pieces and multi-session projects. A flat $50 doesn’t protect a $900 back piece; a percentage scales with what you’re actually reserving.
Whichever you use, two rules are non-negotiable:
- The deposit is non-refundable. A refundable deposit is a reservation fee with extra steps — it protects nothing.
- It credits toward the final price. The client isn’t paying extra; they’re paying early. Say this clearly and most pushback disappears.
Set a Cancellation Window With Teeth
The standard is 48–72 hours. Inside that window, the deposit is forfeit; outside it, the client can reschedule and the deposit follows them.
The fair-but-firm norm: a deposit transfers to a new date once. Life happens — but if someone reschedules a second time, they’re holding your calendar hostage on one deposit. New date, new deposit.
Decide your line on late arrivals too. A common rule: 30 minutes late without a call is a no-show, deposit forfeit. Whatever number you pick, put it in writing — a policy that lives in your head can’t be enforced without an argument.
The Wording — Copy, Paste, Adjust
Put this on your booking page and consult form, and have clients agree to it when they book:
Deposit & Cancellation Policy
A non-refundable deposit of [$75 / 25% of your quoted estimate] is required to book any appointment. Your deposit is credited toward the final cost of your tattoo.
Need to reschedule? No problem with at least 72 hours’ notice — your deposit transfers to your new date (one transfer per deposit). Cancellations or reschedules inside 72 hours, and no-shows, forfeit the deposit.
Arriving more than 30 minutes late without contacting us counts as a no-show.
Large and multi-session pieces are booked with a [25–30%] deposit, applied to your final session.
Adjust the numbers to your shop. The structure — non-refundable, credits forward, one transfer, defined window, late-arrival line — is the part to keep.
Multi-Session Custom Work
For big projects, the deposit gets you started, not covered. The clean structure: deposit at booking, then bill the balance as sessions land — an invoice per session, or one invoice with the deposit applied at the final sitting. Clients always know where they stand, and you’re never chasing a four-figure balance after the fact.
Let the System Be the Bad Guy
The reason most deposit policies fail isn’t the policy — it’s that a human has to enforce it, face to face, against a client with a story. The fix is making enforcement automatic:

When the booking system enforces the policy, “the system charged you because it was inside the window” replaces “I’m charging you” — and that difference is why artists actually stick to it.
